Schedulers - Two (2) Temporary Full Time
Approximately twelve (12) months or until previous incumbent returns
Staffing Office - Corporate
Working in a time sensitive, deadline driven environment, the Scheduler functions as a frontline member of the Staffing Office team in allocating, calling and scheduling of staff in accordance with standardized processes, policies and procedures.
Rotating Days and Evening shifts
(subject to change in accordance with operational requirements)
" College certificate/diploma in Business Administration, Human Resources or related field required
" A minimum of three (3) years recent experience in a scheduling environment, preferably in health care
" Experience with computerized scheduling and timekeeping systems is required. Previous experience with ESP is preferred.
" Previous experience scheduling in a unionized environment is required
" Must possess a strong customer focus with exceptional telephone and email etiquette, interpersonal and communication (written and verbal) skills
" Effective team player that demonstrates a willingness to assist others and supports team decisions
" Must possess an understanding of scheduling best practices, HR policies and collective agreements
" Must possess strong time management and organizational skills to be able to successfully manage tight deadlines and payroll cutoffs
" Demonstrated ability to handle multiple priorities within a dynamic, fast-paced work environment
" Strong computer skills and proficiency with MS Office (Word, Excel and Outlook) is required
" Previous Human Resource and/or Payroll experience is an asset
" Experience with HRIS and/or Payroll systems is preferred
" Demonstrated commitment to continuous learning and learning new technologies, methods and approaches to simplify and streamline job related tasks
" Excellent problem solving and prioritization skills needed, as well as strong attention to detail
" Excellent attendance, punctuality and work record
DUTIES & RESPONSIBILITIES:
" Prepares and maintains staff schedules in accordance with Osler's policies, procedures and/or Collective Agreement requirements
" Responsible for adhering to scheduling practices and processes for all employee groups taking into account all applicable collective agreements and/or employment standards requirements
" Documents sick calls and determines, in collaboration with the unit, whether or not a replacement staff is needed
" Receives and processes employee information and status (contact numbers, availability, skills, etc)
" Completes calls for long term and/or short call staffing needs to meet unit needs
" Provides on-going assistance to employees in person, by telephone and correspondence, concerning pay inquiries
" Provides consultation to managers regarding scheduling best practices
" Investigates pay inquiries and collaborates with Payroll, Human Resources and Unit Managers to resolve issues
" Responsible for ensuring accuracy in ESP to ensure payroll is complete and accurate
" Responsible for assisting with ESP data and maintenance including entering of accurate payroll codes, assignment changes, master rotation adjustments, entering modified work plans - assuring modified and paid hours are correct
Minimum: $23.47 per hour
Maximum: $26.17 per hour
